Your data will also be collected if you contact us directly by calling, texting, or sending a WhatsApp message, to our company phone number: 07453 300328, or sending a direct email to our company email address: info@kyleperryheating.co.uk. You can also contact us via our accreditations, such as the Gas Safe Register website, Vaillant website, Worcester website, CIPHE website, Water Safe website etc., all of which are ways we collect your data.
What Data We Collect
The data we collect is limited to the following; your title, your full name, your postal address, the address of the property/location you require our services at, your phone number and your email address. We do not collect any bank details whatsoever.
Why We Collect Your Data
Your data is required for us to carry out the services we provide.
We require your title and full name for a variety of reasons, including; for us to address you accordingly, for us to post you a quotation for our services you require, printing on your invoice upon completion of a service, printing on gas safety certificates/warning notices, registering any installed products for their warranty, notifying Gas Safe and the Local Authority of newly installed products etc..
We require your postal address for a variety of reasons, including; for us to post you a quotation for our services you require, for us to attend your address to provide you with our services, printing on your invoice upon completion of a service, printing on gas safety certificates/warning notices, registering any installed products for their warranty, notifying Gas Safe and the Local Authority of newly installed products etc..
We require the address of the property/location you require our services at (where the property/location is different to your postal address) for a variety of reasons, including; for us to print on your quotation as a clear indication of where our services will be carried out, for us to attend the address/location to provide you with our services, printing on your invoice upon completion of a service, printing on gas safety certificates/warning notices, registering any installed products for their warranty, notifying Gas Safe and the Local Authority of newly installed products etc..
We require your phone number and email address for a variety of reasons, including; for us to issue you a quotation for our services you require, for us to contact you to liaise the date, time and location you require our services, to contact you to explain a diagnosis/results of the services we have provided, printing on gas safety certificates/warning notices, registering any installed products for their warranty, notifying Gas Safe and the Local Authority of newly installed products etc..
How Your Data Is Stored
You data is stored in a variety of ways, including; hand written in a diary on the date(s) you require our services, hand written on a notepad when it is not possible to immediately liaise a date/time to provide our services, hand written on invoices and gas safety certificates/warning notices etc., stored electronically via email, text message, WhatsApp, service reminders etc., on Apple devices.

From time to time we may need to share your data with third parties, to allow us to carry out our services. Your data may be shared with a variety of third parties, including; suppliers, subcontractors, waste removal companies, manufacturers, the Gas Safe Register and Local Authority, and our accountants. Below are reasons as to why we may have to share your details.
Suppliers
The data shared with suppliers is usually limited to your postal address, or the address of the property/location you require our services at (when different to your postal address), but may include your title, full name and phone number. The suppliers will require this information in order to deliver any required, to carry out our services to you. We trust that any of your data collected by the suppliers to be kept confidential, and will be subject to their own privacy policy.
Subcontractors
The data shared with subcontractors is usually limited to your title and full name, your postal address, or the address of the property/location you require our services at (when different to your postal address), but may include your phone number. The subcontractors may include; electricians, tilers, plasterers, sealant applicators, carpenters, decorators, labourers etc. The subcontractors will require this information in order to attend the property/location, to carry out the required services. We trust that any of your data collected by the subcontractors to be kept confidential, and will be subject to their own privacy policy.
Waste Removal Companies
The data shared with waste removal companies is usually limited to your postal address, or the address of the property/location you require our services at (when different to your postal address), but may include your title, full name, and phone number. The waste removal companies will require this information in order to collect, and dispose of, any installation waste accumulated as a result of us carrying out our services to you. We trust that any of your data collected by the waste removal companies to be kept confidential, and will be subject to their own privacy policy.
Manufacturers
The data shared with manufacturers is usually limited to your title, full name, postal address, the address of the property/location you require our services at (when different to your postal address), your phone number, and your email address. The manufacturers will require this information in order to register products for their guarantee(s). We trust that any of your data collected by the manufacturers to be kept confidential, and will be subject to their own privacy policy.
Gas Safe Register & Local Authority
The data shared with the Gas Safe Register and the Local Authority is usually limited to your title, full name, postal address, the address of the property/location you require our services at (when different to your postal address), your phone number and your email address. The Gas Safe Register and the Local Authority will require this information when we register your new product with Gas Safe and/or notify the Local Authority of an installation for Building Regulations. We trust that any of your data collected by the Gas Safe Register and the Local Authority to be kept confidential, and will be subject to their own privacy policy.
Accountants
The data shared with our accountants is what we print on our invoices, which is usually limited to your title, full name, postal address, the address of the property/location you require our services at (when different to your postal address), but may include your phone number and your email address. Our accountants require our invoices, which contain your data, in order for them to file our accounts, by law, for taxation purposes. We trust that any of your data collected by our accountants to be kept confidential, and will be subject to their own privacy policy.
How Long We Keep Your Data For
The length of time your data will be kept for will depend on where the data is stored (diary, invoice, gas safety certificate etc.). Your data stored in our diary will be kept in the diary for the remainder of the year, remaining only on the page(s) it was written on. Your data stored on a notepad will be destroyed confidentially soon after we have fulfilled our services to you. We are legally obliged to keep a record of all purchases, and sales invoices, which will contain your data, for 6 years. The Gas Safe Register require that any gas safety certificates and/or warning notices, which will contain your data, to be kept for 6 years. Your data that is stored electronically via email, text message, WhatsApp, service reminders etc., on Apple devices, may be kept indefinitely, to allow us to maintain a level of service to you. An example of this would be keeping your data to allow us to send you annual boiler service reminders, and having information about your boiler/installation to allow us to arrive prepared based on the make of boiler and/or type of boiler service required.
Measures In Place To Protect Your Data
We understand that your data is your identity. We will always make sure that the relevant measures are in place to protect your data. Our website: www.kyleperryheating.co.uk has an active SSL certificate in place to protect your data. Our diary will be kept in our locked van when out on site, but kept at our registered address: 60 Queen Anne’s Drive, Westcliff-on-Sea, Essex, SS0 0NH, overnight. Any data not required any more, for example data on a notepad, will be destroyed confidentially by means of shredding. All gas safety certificates/warning notices, out of date diaries, and paid invoices, will be stored in a locked filing cabinet at our registered address. Data that is stored electronically via email, text message, WhatsApp, service reminders etc., on Apple devices, will be device password protected. The Apple devices are subject to their own encryption and data protection. Whilst the above measures are in place, we can not guarantee against malicious exploits.
How You Can Request We Delete Your Data
Under the General Data Protection Regulation (GDPR), you have the right to know how we collect your data, have your data corrected/updated, not provide us with your data, access your data and the right to have your data deleted. More information on your rights can be obtained from the Information Commissioner’s Office or your local Citizens Advice Bureau. We will be more than happy to delete/destroy your data.
How We Would Resolve Any Unlikely Data Disputes
As we treat your data with the upmost respect, it is unlikely a dispute may occur. However, in the unlikely event that a data dispute does occur, we want you to know how it can be resolved. We would work to identify the root cause of the issue, keeping you informed of all progress. In the unlikely event that your data was accidentally leaked, for example your data sent to the wrong email address, we would send another email to the same email address asking them to delete the data immediately, and confirm once done. You will also be notified of the data breach. If you would like to make a complaint about our use of your data, you have the right to file a complaint with the Information Commissioner’s Office.
What Would Happen With Your Data If Our Business Transferred Ownership
Although we have no plans whatsoever of selling the business, we believe you should know what would happen with your data if we were to do so. We would encourage any potential new owners to continue to maintain the level of data processing set out in this privacy policy. However, we cannot force potential new owners to adhere to this document, and they may decide to alter/revoke this privacy policy.
